Privacy Notice (How we use your information)

The categories of information that we collect, process, hold and share include:

• Personal information (name, date of birth, postal address, email address, telephone number)
• Characteristics (such as gender, ethnicity, health and disability)

Why we collect and hold this information
We use this personal data in order to:

• Provide you with the service you have requested;
• Provide you with the support you need to take part in the DofE award scheme;
• Ensure you are safe when you take part in activities;
• Assess the quality of our service;
• Evaluate and improve our performance;
• Derive statistics which inform decisions about future delivery of services.

The lawful basis on which we use this information
Most of our processing of personal information is done with your consent.  We also collect and process personal information to meet our statutory obligations under health and safety legislation, including Activity Centres (Young Persons’) Safety Act 1995 and the Adventure Activities Licensing Regulations 2004.  
We may need to process health information about you in the event of a serious incident where we have to contact the emergency services or to administer medication. In order to do this we need to collect the minimum personal information for these purposes.
We collect and process information about you under:

• Article 6(1)(a) – consent for processing for one or more specific purposes
• Article 6(1)(c) – compliance with a legal obligation to which the Council is subject
• Article 6(1)(d) – to protect the vital interests of you or another person
• Article 9(2)(a) – consent for processing special category data
• Article 9(2)(c) – processing special category data to protect vital interests

Storing this information
We will hold the information about you securely, and for no longer than reasonably necessary. We will hold it up until your 25th birthday in order to provide you with information about your participation so you can receive your awards.

Who we share this information with
The Council does not routinely share your personal information.  It does share non-person identifiable statistics with funders as appropriate, but this will not reveal personal information about you.
Why we share this information
We do not share personal information about you with anyone else without consent unless the law and our policies allow us to do so.
